How do you create a winter facility action plan?

Turn your observations into a short action register. Each item needs a location, responsible person, next step, and review date.
1. Gather one list
Combine heating, water, plumbing, entrance, and lighting concerns in one place. Remove duplicate entries without losing the original observations.
2. Set priorities
Escalate immediate hazards through your established emergency process. Ask qualified providers to help distinguish urgent repairs from planned improvements.
3. Assign decisions
Identify who requests the scope, who approves spending, and who confirms completion. Keep unresolved decisions visible.
4. Review before each major event
Check open items, building schedules, and provider availability. Update the plan when conditions change; retain completed work records.
Bring this to your next facility meeting
Issue and location; supporting photos; responsible person; next action; approval needed; target date; completion record.
For each open item, record the person responsible, the next action, and the date for review.
These field notes support facility planning. Equipment servicing, diagnosis, and repairs should be handled by appropriately qualified providers.
